|Applies To||Question: When a change is made to the configuration of an Archer record permissions field, do these changes automatically apply to existing records?|
Answer: Whether or not changes to the configuration of a record permissions field are automatically applied to existing records depends on the type of record permission field.
Automatic and Inherited record permissions are set by Archer's calculation engine. Any change to the configuration of an Automatic or Inherited record permissions field triggers a recalculation of all existing records. So, changes to the field configuration are automatically applied to existing records.
That is not true of a Manual record permission field. You have to re-apply manual record permissions for each record in order for the changes to apply.
|Resolution||To apply Manual Record Permission field changes to existing records:|
1) Go to Advanced Search and run a report for the application that includes only the application's key field and the manual record permissions field that you need to update.
2) Run the report, and export the results to a CSV file.
3) Perform a Data Import to the application, importing the same CSV file
This will update the record permissions field for all records and apply the access changes.
