how to trigger mail when related record count changes?
Can you suggest me some ideas so that mail should trigger when a related record count changes. Current approach I am following as below but not trigger any mail
Field 1: Count of records in RR field
Field 2: Backup of Field 1
Calculation Order: Field2 then
So by comparing both values, I can set a flag field to "Yes" and will use this flag as trigger in my DDE.
Have you tried just setting up a subscription notification with a filter of:
Where you set your field to a calculated value where it counts the sum of all records in a related record field?
Prakash - With your approach what I can think of is use a A2A data feed to generate the instant notifications.
1. Make a report where take the following fields:
Key Field - Your application's Key Field.
Flag Field - This calculated values-list field is where you're comparing Field1 and Field2 and setting a flag of Yes/No
Counter - Make a Numeric field.
Add a filter in this report as Flag Field Contains Yes
2. Create a Instant Notification in the application where it should say Flag Field Contains Yes
3. Make a A2A Data Feed and do the following changes for generating the instant notification:
Under General Tab Check the Send email notifications when records are published and updated option.
Under Source Definition Create a Calculated field and include a calculation as =Sum([Counter],1)
Map this calculated field to the Counter Field in the application and map the key field of the application.
Use thus data feed to Update records only.
After this data feed will run the email will get trigger.
And you can set this data feed's frequency as required like minutely, hourly, daily etc.
Yes reminder mails will work. but this should happen instantly and flag also will set back to "No" after a recalculation done. So when reminder triggered, there could be possibility to miss for some records.
Even with datafeed, there could be possiblility to miss out records as because of the recalculation. This will change records in report dynamically.
Prakash - We're using this functionality (generate notification through Datafeed), but not sure why didn't work for you. You may re-check your configurations/calculations.
Your Instant notification's filter rule should be Flag Field Contains Yes.
Your A2A report should have the same filter i.e Flag Field Contains Yes.
And DFM should update the Counter field to the A2A report's records.
But I don't think there would be miss in the records whatsoever.
